eQualitie is seeking an experienced bookkeeper and office manager to play a key role on our management team and help us ensure smooth financial operations. Job description
You will join a 12-year-old organization with a 30+ distributed team, developing and providing digital security services for defending human rights online.
Reporting to the Finance Manager and working within the Management team, you will be responsible for eQualitie’s day-to-day accounting and bookkeeping. Your contribution will help us ensure timeliness and accuracy with payroll and various contractual and vendor obligations. You will monitor and prepare monthly timesheets for all employees and contractors, helping with budget allocation. Most importantly, your contribution will make eQualitie a more satisfying and gratifying place to work for all of our distributed staff.
Finance-related responsibilities:
- Verify, allocate and post transactions to SAGE software
- Manage accounts payable and accounts receivable in different currencies
- Allocate revenues and expenses to ongoing projects
- Reconciliation of bank and credit card accounts
- Preparation of monthly income reports
- Oversight and management of general ledger as well as multiple project ledgers
- Maintain financial policies and internal controls
- Maintain petty cash account
- Prepare and process payroll while tracking the level of effort worked by staff members.
Operations-related responsibilities:
- Administrative support to eQualitie’s technical infrastructure rental and inventory
- Monitor, clarify and prepare submitted time sheets with project-focused allocation
About you:
- Minimum post-secondary diploma specializing in bookkeeping and business administration or equivalent
- Minimum 5yrs experience in an office environment performing bookkeeping and administrative functions for commercial and non-profit entities
- Full knowledge of Sage/Simply Accounting
- Accuracy and attention to detail while keeping sight of the overall financial picture.
- Able to prioritize workload and meet deadlines
- Confidence and proficiency in adopting new information systems (task management, knowledge management, wikis, markdown)
- Independent multi-tasker
- Excellent organizational and communication skills in English (second language, French or Russian preferable)
