Fiscal Grants Manager

Job Summary:

The Fiscal Grants Manager reports to the CFO and is responsible for processing grant activities and maintaining the financial records in compliance with terms and conditions and audit standards.

Fiscal Grants Manager position provides accounting support for Federal, State, and Local grants and private funding. The position also assists with the grant closing process, reconciling funds, and accounts to identify errors or discrepancies. Performs general ledger account analysis in support of the month-end close for related entities.

JOB RESPONSIBILITIES

Grant Budgeting & Oversight

  1. Plans, organizes, and coordinates the accounting and financial reporting for the organization’s grant portfolio in collaboration with Development & Program Leadership, including preparing annual and project budgets, forecasting revenue, estimating any carry-over of funds from one year to the next.

  2. Serves as the liaison for all grant activities across all entities/departments. Grant Tracking & Invoicing with supervision responsibilities and support from the Grants Coordinator

  3. Maintain financial records of all grant funds consistent with audit standards

  4. Computes, prepares, and submits the annual indirect cost rate in coordination with the Controller.

  5. Manages payroll allocations and reviews regularly to ensure accuracy.

  6. Research issues, prepare, and submit grant invoices/billings, and track funds to support restricted fund expenditures.

  7. Prepare all applicable month-end close journal entries, including salary accruals and accruals of other expenditures; monitor for reversals Grant Reporting & Data Reconciliation

  8. Provide regular reporting and perform a variety of financial analysis on an as-needed basis.

  9. Perform monthly reconciliation with Development to ensure all grant awards are recorded following GAAP guidelines.

  10. Monitors grant spending against budget/deliverables and timelines.

  11. Meets regularly with Development and Program staff to review internal grant actual expenses against the budget and works with them to proactively resolve under/overspend issues. Grant Compliance & Internal Controls

  12. Monitor grant compliance with internal policies and any other applicable grant regulations.

  13. Implement procedures to communicate, educate and ensure compliance with grant regulations throughout the organization.

  14. Provide internal control support for the organization assisting the CFO & Controller with establishing and maintaining effective controls over separation of duties, access control, standardization, reconciliation & approval authority Financial Reporting & Other Duties.

  15. Assist the Controller with timely, accurate, and effective reporting of all financial information to both internal and external stakeholders meeting all deadlines

  16. Support the Manager of Accounting, Controllers, and Accountants in the month-end close process, including balance sheet account reconciliations.

  17. Provides support in the annual budget and audit process.

Location: Hybrid with Supervisor approval.

Salary: $80,000. to $90,000. yearly.

Academic Requirements:

Bachelor’s degree in accounting.

Professional Requirements:

Fiscal Grants Manager requires 3-5 years work experience and a minimum of 2 years of Grant Accounting experience required, ideally in a non-profit/human service setting, educational or social services.

Expert proficiency in accounting software general ledger systems, Abila MIP preferred, Microsoft Excel, and other Office products required. Some experience with payroll systems (e.g., Paylocity) is a plus. The candidate should possess a solid foundation of GAAP, internal controls, and good working knowledge of annual audits, and federal audit OMB compliance a plus.
