Education Qualifications: Bachelor's degree required /Any Associate Degree, or higher, in business administration, administrative assistant, or related field preferred.
Location: Hyderabad
Experience: 5 to 7 years
Gender: Female
Skills: Excellent computer skills. Proficiency in MS Windows and Office (Word, Excel, PowerPoint,Publisher, and Outlook). With excellent verbal and written communication skills.
Roles and Responsibilities
- Provide full executive support to the CEO and Administration through telephone, and electronic communications.
- Responsible for CEO’s calendar management/appointment schedule, requiring interaction with both internal and external executives and assistantsto coordinate a variety of complex executive meetings.
- Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having asense of the issues taking place in the environment and keeping the CEO updated.
- Prioritize and manage multiple tasks simultaneously and follow through on issues in a timely manner.
- Prepare and edit correspondence, communications, presentations, and other documents if required.
- Responsible for recording the minutes for the Administrative, Finance Committee,Compliance Committee, Board ofTrustees Meeting, and any other meetings/committees as necessary.
- Provide administrative support to the Administrative Team including the Human Resources department and Finance department.
- Coordinate travel arrangements, Hospitality for management, and other officials, coordinating with vendors, etc.
- Maintains and protects operations by keeping information confidential.
- Assistsin coordinating the agenda ofsenior management team meetings and off-site, and allstaff meetings and facilitates cross-divisional coordination of travel and outreach plans.
- Organizes and ensures administrative policies are routinely reviewed and kept up to date.
- Arrange to replenish office materials such as snacks, printer supplies, paper, office supplies,etc., and Provide event management support as requested.
- To ensure all correspondence and relevant materials are produced in a timely and accurate manner.
- Maintains administrative staff by delegating the work.
- Monitor building safety and security policies and work closely with staff, learners, and guest adherence to safety protocols.
- Ensures a safe, secure, and well-maintained facility that meets environmental, health, and security standards.
- Manages the maintenance and repair of machinery, equipment, and electrical and mechanical systems.
- Manage all front office and clerical tasks. And maintaining the required registers/ records, preparing reports, and composing correspondence relative to the work.
- Ensure that conference rooms, meeting rooms, and reception areas are ready for meetings.
