A technologically savvy individual with the ability to have an immediate impact through their advanced administrative, organizational and communication skills. In this role we seek an individual that is professional, polished and always has a smile on her/his face as she/he provides executive level assistance to senior leaders while ensuring the office is open, presentable and consistently running at optimal levels at all times.

Responsibilities:

Must be able to handle a wide range of administrative and executive support related tasks independently
Answer phones professionally, screen calls, address issues and redirect calls as needed.
Distribute detailed messages in a timely and appropriate manner
Manage calendars – schedule internal / external meetings, appointments, conferences, special events etc
Maintain and facilitate communication with senior company leaders and external clients, which often requires a significant amount of explanation, clarification and diplomacy; exercising complete discretion and confidentiality
Manage, track and report on the status of projects assigned to you
Coordinate itineraries and travel arrangements (air / ground travel, accommodations, etc.)
Expense management – prepare and submit expense reports
Prepare, review and edit a variety of correspondences, reports and presentations for both internal and external audiences
Prioritize and manage key projects in an efficient and timely manner.
Work closely with top management to disseminate hard copy or email campaigns to consultants, clients and potential clients.
Handle sensitive information and complete independent project assignments.
Capacity to multi-task, interact with all levels of management, enjoy a team environment, and work independently under a minimal level of supervision

Qualifications/Requirements:

Pleasing personality with excellent communication, written and computer skills
5-7 years of experience in an administrative support role
Positive and proactive multitasker with a strong sense of urgency and a “get things done” attitude
Business savvy with an analytical and structured approach
Exceptional organizational and problem solving skills with the ability to recognize and appropriately handle highly sensitive and confidential material and information
Proven ability to prioritize tasks in a fast-paced environment
Ability to work a flexible schedule and overtime as needed
Bachelor’s degree preferred
