In this role you will be responsible for billing, bookkeeping, human resources administration, and general office administration.

Location: In office, San Francisco, CA USA

Reports to CEO and works under direction of CFO for bookkeeping tasks.

Key Tasks And Duties

• Responsible for administering general office activities, HR administration, invoicing and bookkeeping support services
• Answers phones/emails and maintains the CEO’s calendar
• Coordinates required office services within the business (accounting support, leadership)
• Performs miscellaneous office support to executives and other staff as needed

HR Administration

• Manage employee recruiting administration including executing recruiting plan, posting position profiles, facilitating interview process, background checks, managing communication with applicants
• Manage new employee on-boarding
• Conduct new employee orientations
• Administer all benefit programs of company and interface with benefits vendors, distribute and process benefit enrollment packets, new/change/termination forms
• Be the go-to team member for answering employee payroll and benefits related questions
• Maintain personnel records and employee benefit files, I-9 data management
• Administer employee performance review process
• Administer summer intern program
• Craft and administer employee policies, procedures, best practices
• Protect compliance interests of employees and the company relative to governmental regulations under Title VII, FLSA, FMLA, OSHA, ADA, ERISA, etc.
• Process employee terminations, exit interviews


• Performs payroll, accounts payable entries; and receives invoices and checks against estimates.
• Uses various software programs to conduct general bookkeeping and accounting duties, including tax reporting, payroll administration, and monitoring, reconciliation, billing, correspondence.
• Work under direction of external CFO to perform bookkeeping tasks and prepare weekly reports for stakeholders
• Provide information to external CPA firm for compliance and tax filing preparation
• Prepare periodic reports for senior management as requested

General Office Administration

• Process incoming mail (scan, distribute) and send outgoing mail
• Order office supplies
• Provision conference room space for meetings
• Supports miscellaneous office cleaning to maintain a positive, professional office setting.
• Perform administrative tasks and projects to assist CEO and executive team, as requested (such as booking travel, preparing Board meeting packets)

Required Skills

• Experience in bookkeeping/payroll/accounting
• Experience in HR administration functions
• Experience in professional office setting. Requires professional phone and proficient client/vendor care skills
• Provide excellent customer service to internal customers and external customers
• Demonstrate adaptability and flexibility with changing project scopes, timelines and priorities
• Excellent communication skills: listening, great writing, and presentation skills
• Entrepreneurial spirit and a willingness to take on new tasks in a fast-paced setting
• Display good judgment, ability to work independently and use critical thinking
• Team player that can be counted on and trusted to work with honesty, integrity, maintain a high degree of confidentiality, maintain high trust levels, and complete projects on time
• Ability to implement new policies, communicate policies and company directives, and provide briefing and training to diverse audiences
• Ability to operate independently where appropriate but understand when to escalate issues
• Extremely organized to multitask projects and manage communication flow to local and remote team members
• Ability to establish effective working relationships at all levels within the Company
• Knowledge of state, national and international labor employment law regulations and applicable requirements
• High degree of technology, strong capability using various forms of spreadsheets, and tracking data in various software having demonstrated ability to adapt to new technologies and apps for automating workflow
• Bachelor's Degree in Business or Human Resources Management preferred
