Overview: The Payroll Specialist supports all aspects of payroll processing across a designated portfolio of customers, processing payroll for multiple customers on a daily basis, tracking and maintaining accuracy of all payroll-related procedures for each customer. This highly customer-interfacing role ensures a superior experience for every customer, driving long-term customer satisfaction and retention. About the Role: Administer all payrolls within an assigned portfolio of customers, ensuring all customer payroll are processed in a timely and accurate manner, and in compliance with all applicable laws and regulationsCreate and maintain customer employee records including address changes, direct deposit information, deductions, loans, client-directed actions such as terminations and hiring, and advising worksite employees, as neededMaintain client contact records in Prism, including addresses, payroll time sheets, delivery information, and other basic data, as neededDevelop and maintain positive relationships with each client, serving as a trusted, go-to source for payroll processing support and best-practice recommendationsProduce preliminary payroll reports and compare them against time sheets and other payroll data, to confirm accuracyVerify attendance, wage computation, hours worked and pay adjustments, and post information into appropriate recordsIssue W-2's, and produce necessary year-end reportingManage reports, statements, and summaries related to pay and benefits accounts, and submit them to appropriate departmentsAssist with periodical audits (internal, financial and tax authorities), as neededAssist with tasks related to HR, in areas such as benefits administration and employment termination settlement processesBuild and maintain strong customer relationships by consistently providing excellent customer serviceRespond to customer telephone and/or email inquiries and take appropriate action, in compliance with customer’s Service Level AgreementsServe as a customer point-of-contact for resolution and/or escalation of any matter that may affect the smooth processing of customer payrollsEnsure customer Payroll Procedures manual is consistently updated to accurately reflect current processes and proceduresAssist with various ad hoc Payroll projects and initiatives and/or other duties, as required About You:Recent experience in payroll processing, preferably with a third-party payroll provider, PEO, or high-volume, multi-state in-house payroll departmentStrong working knowledge of payroll processing software platforms (PrismHR and/or HR Pyramid, highly preferred)Proficiency with MS Word, Excel, and Outlook FPC or CPP certifications, highly preferredHighly detail-orientedReliable, accountable and self-motivated professional with experience coordinating payroll in a mid-sized company with end-to-end responsibility for payroll processesAn organized, focused, team player with a results-oriented work ethic and strong analytical and financial skillsAn adept multi-tasker, who can work independently, adapt quickly, solve problems and adjust priorities to deliver in a time sensitive environmentA trusted "go-to" person who can maintain a high level of accuracy, discretion, and confidentiality in the preparation and management of financial informationMulti-state payroll processing experience, with knowledge of federal and state payroll-related laws across the United States, preferredEnglish/Spanish bilingual, ideal
