Reports to: President

The Sales Assistant will be responsible for the day-to-day administrative support of the President, Vice President and Business Development in such areas as correspondence, meeting arrangements/scheduling, time management, information maintenance and general office support. Duties may include:

Admin

Handle all administrative aspects, typing letters, faxes, e-mails, etc.
Set up meetings, lunches, dinners, etc.
Handle all calls, take messages, screen, set up conference calls, etc.
Assist Vice President and Sales Team on all business development and deal related issues, admin assistance, etc.
Prepare expense reports
E-1 Visa Applications


Deals

Handle all aspects in relation to deals, call for tender package, set up initial meetings for inspection, etc.
Prepare proposals, auction service agreements, etc.
Search for and apply auction licenses where necessary (Canada & USA)
Conduct PPSA/UCC lien searches and follow up to get required discharge letters
Handle all details in relation to insurance for assets on deals, etc.
Handle all travel arrangements for President and Vice President (sometimes for Project Managers, Site Supervisors and Accounting)
Maintain spreadsheet on list of “Current Deals”
Handle all aspects in relation to deals
Handle consignment agreements
Assist with Appraisals (Letter of Engagement, Schedule ‘A” and Reports)


Work in conjunction with Administrative Assistant

Assist in admin overflow regarding deals
Book all necessary flights/hotels, etc. in relation to deals
Voicemail System/Phones
Other administrative tasks as necessary


Work in conjunction with Business Development

Proactively research newspapers and the web (including e-mail notifications and specific websites) on a daily basis
Organize the potential client's information and provide it to the President or Vice President of Sales in order to make the introduction in order for them to close the sale of the Company’s appraisal and liquidation services
Create company presentations to be given to prospective clients when requested
Build and cultivate prospect relationships by initiating communication and conducting follow-up communication in order to move opportunities through the sales funnel
Support sales team to improve performance, control and maintenance of their leads
Manage data for new and prospective leads/clients in Act!, ensuring all communication is logged, information is accurate and documents are attached, as well as reporting and follow-up activities
Other duties as requested


Qualifications

The successful high performing candidate will gain a thorough understanding of the business in the first 60 days and have the following skills and abilities:

2-4 years of administrative experience supporting executives
100% spirit, effort and results on a consistent basis
Self-motivated, proactive, quick learner with high energy who is results oriented with a proven track-record and has the ability to work independently and within a team
Excellent written and verbal skills, in particular excellent telephone manners and being comfortable communicating with potential customers
Strong research and data collection skills using the telephone, newspaper, web, and e-mail notifications having the ability to focus on what is relevant
Strong attention to detail and accuracy as well as problem analysis and problem-solving
Strong ability to stay organized, multi-task, and follow-up on a timely basis
Proficient knowledge of Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, and Publisher
